H2C Field App Privacy Policy
HOT 2 COLD INC. ("Hot 2 Cold," "we," "us," or "our") provides the H2C Field mobile app to help customers and technicians document HVAC project information, room layouts, vent measurements, and equipment details.
This Privacy Policy explains how the basic H2C Field version 1.0 handles information. This version provides local project records, room scanning, basic blueprints, vent measurements, and equipment-label scanning. It does not provide AI chat, cloud project synchronization, project sharing, external property lookup, or company-management tools.
Information You Enter
The app may let you enter project information such as:
- Customer name
- Home or project address
- Room names
- Vent type, size, mounting location, flex duct size, vent photographs, and depth records
- HVAC equipment manufacturer, model number, serial number, refrigerant, tonnage, SEER rating, and related notes
Camera, LiDAR, OCR, and Compass Use
The app uses the iPhone camera and Apple ARKit/RoomPlan features to help measure and document HVAC information.
- Room scans use LiDAR and Apple RoomPlan to create room dimensions, wall lines, doors, windows, and blueprint data.
- Vent measurement uses the camera and ARKit to measure vent corners and save vent dimensions.
- Equipment data plate scanning uses the camera and Apple Vision OCR to read text from equipment labels.
- Compass heading may be used to align room scans to north.
In this version, scan, measurement, and equipment-label recognition are processed on the iPhone and saved in the app’s local project data. These project records and captures are not automatically uploaded to Hot 2 Cold. Signing in does not synchronize them to another device.
Local Storage
The current app stores project information on the device, including room, vent, equipment, blueprint, and scan data. Deleting a project in the app removes that project from the app’s local project list.
Account Sign-In
You can use the app as a Guest without creating a sign-in account. Optional passwordless email sign-in uses Google Firebase Authentication. When you request a one-time sign-in link, Firebase processes your email address and maintains a user identifier for your account. It also processes technical connection information, including IP addresses and user-agent information, for authentication, security, and abuse prevention. Open the sign-in email on the same iPhone to return to H2C Field. Do not send your sign-in link to anyone else.
Security and Diagnostic Data
The app uses Firebase App Check with Apple’s App Attest to help verify that requests come from the app on a genuine device. This involves app/device attestation data and security tokens. Firebase SDKs may also process technical diagnostic information for service operation and analytics. This basic release does not include the Google Analytics or Firebase Crashlytics SDKs. That does not mean no diagnostic information is processed.
Information Shared With Hot 2 Cold or Service Providers
Google Firebase provides email authentication, security checks, and the web pages used by the email sign-in flow. Apple provides device-attestation and app-distribution services. Their processing is separate from the local project records described above. The basic release does not send project photos or chat messages to an AI service.
If you email App Support, we receive the email and any information or attachments you choose to send. Include only information needed to explain the issue; remove customer addresses and other private details from screenshots where possible. Never send passwords or one-time sign-in links. See Firebase’s privacy information for more about Google’s service processing.
We do not sell personal information. We do not use app data for third-party advertising or tracking.
App Store and TestFlight
If you install or test the app through Apple TestFlight or the App Store, Apple may process information under Apple’s own privacy policies and developer tools. Hot 2 Cold may receive tester feedback and crash or diagnostic information that Apple makes available through App Store Connect or TestFlight.
Permissions
The app may request these iOS permissions:
- Camera, to scan rooms, measure vents, and scan equipment data plates.
- Location, to access device compass heading for north alignment of room scans.
You can change app permissions in iOS Settings.
How We Use Information
We use information to:
- Create and maintain HVAC project records
- Measure rooms and vents
- Build basic floor plans and record vent locations
- Help Hot 2 Cold technicians prepare for service
- Respond to support requests you send to us
- Authenticate accounts and protect the app’s services from abuse
- Maintain, secure, and improve the app
Account Deletion
To delete your H2C Field sign-in account, sign in and open Settings > Account > Delete Account, then confirm Delete Account and Projects. The app requests deletion of the Firebase sign-in account and removes its local project file, room-scan artifacts, vent photographs, depth records, and pending sign-in information from that iPhone. It displays Account deleted and returns to Guest mode after these steps complete.
If deletion is interrupted, the app retains a recovery record and provides Retry Deletion. Projects remain unavailable while cleanup is pending. If you are asked to sign in again for security, complete a fresh sign-in and retry. You can initiate account deletion inside the app without contacting support.
This action does not erase copies you separately exported, sent to someone else, or retained on another device. For a privacy request about information you sent directly to App Support, contact us using the details below.
Retention
Local project information remains on the iPhone until removed. Deleting the app removes its local app data, but does not by itself delete the Firebase sign-in account; use the in-app account-deletion option for that.
Google states that Firebase Authentication keeps logged IP addresses for a few weeks and removes other authentication information from its live and backup systems within 180 days after deletion of the associated user is initiated. Security and service records follow the applicable provider’s retention practices; the in-app confirmation is not a claim of instant erasure from every provider backup. Your Choices
You can:
- Decline camera or location permission, though some scan features may not work.
- Use the Guest path without creating a sign-in account.
- Delete projects in the app.
- Delete your sign-in account and local project data using Settings > Account > Delete Account.
- Delete the app to remove locally stored app data from the device.
- Contact Hot 2 Cold to ask about information you have sent to us.
Children
The H2C Field app is intended for homeowners, customers, technicians, and business users. It is not directed to children under 13.
Changes
We may update this Privacy Policy as the app changes. The effective date above shows when this Privacy Policy was last updated.
