Penny QuickBooks Privacy Policy

This Privacy Policy explains how Hot 2 Cold Air Conditioning (“Hot 2 Cold,” “we,” “our,” or “us”) handles information processed by the Penny QuickBooks integration (the “Application”). The Application is a private internal accounting tool that connects authorized Hot 2 Cold workflows to QuickBooks Online through Intuit’s APIs.
1. Information We Process
Depending on the authorized workflow, the Application may process QuickBooks Online company and accounting data, including company profile information, customer and vendor records, invoices, bills, payments, chart of accounts, journal entries, transaction metadata, balances, reports, and related accounting notes.
2. How We Use Information
We use information processed by the Application to support Hot 2 Cold accounting operations, bookkeeping, reconciliation, reporting, accounts receivable and accounts payable review, QuickBooks Desktop to QuickBooks Online migration verification, audit trails, and internal business decision support.
3. QuickBooks and Intuit Authorization
The Application accesses QuickBooks Online only through authorization granted by an authorized Hot 2 Cold representative. OAuth credentials and tokens are used to authenticate API access and should be stored securely. Access may be revoked through Intuit or QuickBooks controls.
4. Sharing
We do not sell QuickBooks or accounting data processed by the Application. Information may be shared only with authorized Hot 2 Cold personnel, accountants, tax professionals, legal advisors, service providers who help operate the Application, Intuit/QuickBooks as required to provide API access, or when required by law.
5. Security
We use reasonable administrative, technical, and operational safeguards designed to protect accounting data and credentials. No system can be guaranteed perfectly secure. Authorized users must avoid sharing secrets, tokens, reports, customer data, or financial data with unauthorized parties.
6. Retention
Accounting records and related outputs may be retained as needed for business operations, tax, audit, legal, reconciliation, migration, and support purposes. OAuth tokens may be refreshed or revoked according to Intuit’s authorization controls and Hot 2 Cold operational needs.
7. Access and Correction
Because the Application is an internal business tool, most source records are managed in QuickBooks Online or related Hot 2 Cold systems. Requests to access, correct, or delete information should be directed to Hot 2 Cold, and we may route the request to the system of record when appropriate.
8. Children’s Privacy
The Application is not intended for children and is not directed to consumers under 13 years old.
9. Changes
We may update this Privacy Policy as the Application, QuickBooks integration, or legal requirements change. The effective date above will be updated when material changes are made.
